Our client is seeking a dedicated and detail-oriented Project Administrator to join their team. This role is essential in supporting the senior management team and ensuring seamless communication between internal and external stakeholders. Essential Duties and Responsibilities (but not limited to):
- Serve as the primary liaison for the senior management team, facilitating communication between internal and external customers and clients.
- Respond to emails, taking messages, and routing correspondence effectively.
- Handle requests and queries in a timely manner, ensuring all communications are addressed appropriately.
- Oversee complicated calendars for multiple executives and external personnel, managing conflicting priorities and scheduling efficiently.
- Organize meetings and events, manage conference room bookings, and ensure all logistical details are addressed.
- Take accurate meeting minutes and enter data into OneNote. Draft letters and documents with minimal guidance, format templates, and proofread materials as needed.
- Facilitate inter- and intra-departmental communications, collaborating extensively with internal and external contacts while handling sensitive information discreetly.
- Maintain and organize documents and administrative filings, including printing, scanning, and transmitting documentation.
- Provide administrative support to the Project Director and project team, ensuring all team needs are met.
- Manage office supplies, including ordering and restocking as necessary.
- Track team out-of-office schedules to maintain workflow continuity.
- Handle IT support requests and follow up as needed.
- Enter travel expenses in Concur, ensuring accurate and timely processing.
- 5-7 years of previous experience in a similar administrative role.
- Familiarity with DocuSign, SharePoint, MS Office, and OneNote is essential.
- Strong verbal and written communication skills are required to effectively interact with diverse stakeholders.
- Prior experience in the Pharma industry is strongly preferred.
