Job Description:
Our client is seeking a detail-oriented and proactive Administrative Assistant to join their team. This individual will provide critical administrative support, ensuring the smooth operation of daily office activities while supporting managers, employees, and HR-related functions. The ideal candidate is highly organized, professional, and skilled at handling confidential information with discretion. Essential Duties and Responsibilities (but not limited to):
- Provide administrative and customer service support to HR and workforce service functions.
- Perform data entry and maintenance within HR systems, supporting processes such as onboarding, payroll, benefits, time management, and offboarding.
- Assist with first-tier application support for HR self-service tools.
- Conduct routine and ad hoc data audits to ensure accuracy and support reporting needs.
- Support system and process improvements, including testing system enhancements and maintaining documentation.
- Answer and direct phone calls, emails, and inquiries while providing high-quality customer service.
- Organize and schedule meetings, appointments, and travel arrangements.
- Maintain contact lists, filing systems, and office supply inventory.
- Prepare and reconcile expense reports, invoices, and correspondence.
- Provide general support to visitors and team members, handling multiple tasks and projects with accuracy.
- Apply HR policies and procedures to answer employment-related questions and perform transactions.
- High School diploma required; associate or bachelor’s degree preferred.
- Minimum of 3 years of relevant administrative or HR support experience.
- Strong data entry and reporting skills with a high level of accuracy.
- Excellent customer service, interpersonal, and communication skills (both written and verbal).
- Proven ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
- Strong organizational skills with keen attention to detail.
- Professionalism, discretion, and good judgment in managing sensitive information.
- Experience with SAP HR transactions is a plus.
- Familiarity with ServiceNow (HR Service Delivery) is preferred.
- Enrollment in or completion of an HR-related degree program is advantageous.
- Due to the nature of the work, an Interim clearance is required (active Secret clearance is a plus).
